Privacy Policy

This Privacy Policy explains how the Nixa LIVE Student Production Crew application (“Nixa LIVE,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information about students, advisors, and authorized guardians who engage with our services. Because we support a public school program that works with minors, we emphasize transparent practices, limited collection, and accountability to Nixa Public Schools policies, federal student privacy laws, and our community.

1. Scope

This policy covers the web application hosted at nixalive-prod.vercel.app and any connected services we manage, including the Supabase database, authentication tools, and communication channels operated for the Nixa LIVE Student Production Crew.

The policy applies to all personal information collected when you sign in with a Google account, submit onboarding forms, manage production schedules, complete reflections, or interact with our support team. If we ever expand services beyond the current experience, we will update this policy and highlight the changes.

2. Information We Collect

We collect only the information necessary to run the production crew program and to comply with school district requirements.

  • Account identifiers: name, school-issued Google email address, Google user ID, and authentication metadata provided by Google when you sign in. We do not collect Google passwords.
  • Profile and onboarding details:preferred name, contact phone number, current grade level, section assignment, T-shirt size, guardian contact details (if provided), and onboarding completion status.
  • Program participation records:schedules, call sheets, crew assignments, attendance confirmations, volunteer hour tracking, reflection submissions, grades, advisor feedback, and progress notes stored in Supabase tables.
  • Technical information: device type, browser, IP address, and diagnostic logs captured automatically by Vercel hosting, Supabase, and our application monitoring. We use these records to secure the service and resolve support incidents.
  • Support communications: emails or messages you send to support@nixa.k12.mo.us or through future help channels, including attachments you voluntarily share.

3. How We Use Information

We use personal information to operate the production crew program and to support the academic goals of participating students. Specific uses include:

  • Authenticating users through Google single sign-on and maintaining session security.
  • Creating and maintaining student crew profiles and onboarding approvals.
  • Scheduling events, publishing call sheets, and sharing production logistics.
  • Recording attendance, progress, and reflections so advisors can provide feedback.
  • Generating academic or participation reports required by Nixa Public Schools.
  • Responding to support requests and communicating program announcements.
  • Monitoring system performance, addressing bugs, and improving accessibility.

4. Legal Bases and Educational Compliance

We process student information in accordance with the Family Educational Rights and Privacy Act (FERPA) and applicable Missouri student privacy laws. When guardians or district administrators provide consent or authorization, we rely on that consent to create accounts for minors. School officials with legitimate educational interests may access student records to fulfill their responsibilities under Nixa Public Schools policies.

5. Information Sharing and Disclosure

We do not sell personal information. We share data only with the parties listed below and only for the purposes described in this policy:

  • Nixa Public Schools personnel:advisors, administrators, and technical staff who need access to support the production crew program or meet legal reporting obligations.
  • Service providers: Supabase (database hosting, authentication), Vercel (web hosting and logging), Google Workspace (single sign-on), and other district-approved vendors that process data on our behalf under confidentiality agreements.
  • Compliance and safety: if required by law, court order, or in response to a verified request from law enforcement or school safety officials. We may also disclose information when it is necessary to protect students, staff, or the integrity of school property.

6. Student and Guardian Choices

We believe students and guardians should understand and manage how information is used. You may:

  • Review or update profile information by signing in and visiting the onboarding section.
  • Request a record review, correction, or export through your advisor or by emailing support@nixa.k12.mo.us.
  • Request account deactivation if you leave the program or graduate.

7. Data Retention

We retain student records for as long as required to support educational evaluation and district record-keeping. Once a student graduates or is no longer involved with the program, we archive their participation data for up to five academic years unless a longer retention period is mandated by district policy or law. We routinely review stored information and remove data that is no longer necessary.

8. Cookies and Similar Technologies

Nixa LIVE does not use advertising or tracking cookies. Session information is stored using secure Supabase authentication cookies and local storage tokens that are required to keep you signed in. Vercel may place essential cookies for load balancing and security. You can adjust browser settings to control cookies, but blocking essential cookies may limit your ability to use the application.

9. Information Security

We employ administrative, technical, and physical safeguards to protect student data. These measures include role-based access controls, encrypted connections (HTTPS), audit logging, regular review of Supabase database permissions, and adherence to district IT policies. Advisors and student leaders receive training on acceptable use and confidentiality expectations.

10. Students Under 13

The production crew primarily serves high school students. When a student under the age of 13 participates, we obtain verifiable guardian consent through Nixa Public Schools enrollment processes before collecting any personal information. We honor all parental rights afforded under COPPA and FERPA.

11. International Data Transfers

Our services are intended for participants located in the United States. Data is stored in Supabase regions selected to comply with U.S. educational requirements. If we ever transfer data outside the U.S., we will implement appropriate safeguards and notify the district.

12. Third-Party Links and Integrations

The application may link to resources such as Google Drive documents, YouTube videos, or external training platforms. When you follow external links, the destination site’s privacy policy governs your experience. We encourage students to review those statements and to avoid sharing personal information on unapproved platforms.

13. Changes to This Policy

We will update this policy whenever we introduce new features, integrate additional services, or revise our practices. When significant updates occur, we will highlight the changes within the application and communicate them through advisor briefings or email notifications.
